Hot Potato Art Studio, LLC – Studio Policies & Guidelines

At Hot Potato Art Studio, LLC, our goal is to foster creativity and confidence through art education. To maintain a safe, positive, and productive environment, we ask that all participants review and adhere to the following policies. By enrolling in any of our classes, workshops, or programs, you acknowledge that you have read, understand, and agree to comply with these guidelines.

Hot Potato Art Studio, LLC reserves the right to make adjustments to these policies as needed to maintain the quality and safety of our programs. If you have any questions, contact info@hotpotatoartstudio.com.

Enrollment

Enrollment at Hot Potato Art Studio, LLC is subject to all studio policies and procedures. By registering, you agree to:

  • Provide accurate and up-to-date information during the registration process, including contact and emergency contact information, as well as relevant health, allergy, or behavioral needs.

  • Review and understand the studio’s policies regarding make-ups, refunds, transfers, and cancellations.

  • Comply with all studio guidelines to ensure a safe and positive learning environment for all participants.

  • A student’s spot is not confirmed until payment has been received or ESA approval has been verified.

Code of Conduct

All participants are expected to follow a code of conduct while attending classes, including showing respect and kindness toward:

  • Instructors and fellow participants

  • Studio materials and equipment

  • The studio environment

Important Notes:

  • Intentional damage to materials or studio property may result in financial responsibility and dismissal.

  • Instructors use encouragement and positive redirection, but if a student repeatedly fails to meet expectations, is defiant, or threatens the safety of themselves or others, guardians will be contacted and asked to remove the student from class immediately.

  • Continuation in future classes is at the discretion of Hot Potato Art Studio, LLC.

  • No refunds will be issued for students dismissed for behavior or failure to follow the code of conduct.

  • Failure to adhere to studio policies, including repeated late pick-up or unsafe behavior, may result in removal or disenrollment at the studio’s discretion.

  • Teachers monitor student behavior and conversations to maintain a positive, respectful, and inclusive studio environment. However, the studio is not responsible for the views, language, or subject matter that individual students may express verbally or through their artwork. Redirection is up to the discretion of the studio in order to maintain a positive and inclusive environment.

Participation & Liability Release

By enrolling your child, you give permission for them to participate in all art activities. You acknowledge that classes may use materials such as paint, scissors, hot glue guns, and other art tools. All participants must be enrolled in the session.

You release and hold Hot Potato Art Studio, LLC harmless from any liability that may arise in connection with participation in the studio’s programs.

Health & Safety

  • If minor first aid is required (e.g., a band-aid or ice pack), the studio will provide it and notify guardians at pick-up.

  • In case of emergency, sudden illness, or serious incidents (e.g., bloody nose or injury requiring medical attention), the guardian will be contacted immediately.

  • Parents/guardians are responsible for providing any required medications or health supplies. Instructors cannot administer medications unless prior arrangements are made in writing.

  • If a guardian cannot be reached during an emergency, Hot Potato Art Studio, LLC may seek emergency medical care as necessary. Guardians are responsible for any associated costs.

  • Students should remain home if they are sick, including fever, vomiting, or other contagious symptoms. Students exhibiting symptoms may be sent home at the instructor’s discretion.

  • Refunds or transfers are not provided for students who miss class due to illness or medical emergencies.

Refunds, Make-Ups, & Class Transfers

Once you make your purchase, your child’s spot is held and supplies are purchased. For those reasons, there are no refunds and all sales are final. There are no exceptions to this policy. Refunds are not provided for the following reasons, including but not limited to:

  • Failure to attend

  • Withdrawal from the ESA program

  • Student arrival but refusal to participate

  • Illness, emergency, inclement weather, or transportation problems

  • Student dismissal for not following the studio’s code of conduct

  • Moving

  • Schedule changes

Make-Ups: We cannot guarantee that we can offer a make-up, but if you miss a class and give us notice, we will make every effort to provide a make-up session within a similar class within the same week.

Exceptions / Transfers:

  • You may transfer your reserved spot to another student who meets the age and class requirements. You must notify the studio of the transfer. 

  • If you notify the studio in advance and we are able to fill the spot from the waitlist, you will receive a 50% class credit. Credits are valid for 3 months from issuance and cannot be extended or transferred.

  • If class materials were included, they will be provided to students unable to attend. It is your responsibility to pick up the supplies. We will hold session materials for one week.

  • If a class does not meet minimum enrollment, you will be notified within 48 hours and a refund or class credit will be provided.

  • Refunds or credits will be offered if the studio needs to cancel a class.

Payments

We accept:

  • Credit/Debit Card – via our online booking system.

  • ESA Funds – invoices must be submitted prior to class; families are responsible if reimbursement is delayed, reduced, or denied.

If Using ESA Funds:

  • Upon registration, you will receive a ClassWallet invoice. Your spot is NOT secured until we receive a confirmation email from ClassWallet that the invoice was submitted. Please do not forward us the email as we will receive the same one from ClassWallet.

  • If a refund to ESA needs to be made there is a $50 processing fee.

  • In the case where you are waiting for ESA funds to arrive, we will extend a one month grace period. If your ESA funds have not arrived after one month, you are responsible for payment and will need to submit for reimbursement once your funds arrive.

Clothing

Wear clothes and shoes that can get messy. Smocks are provided, but stains may still occur. The studio is not responsible for clothing, shoes, or personal items damaged during class.

Personal Property

We do not have a public drinking fountain so students are encouraged to bring a water bottle for longer classes and camps.  You are responsible for your water bottles and any other personal property brought into the studio. If property is left in the studio, we will keep it in the lost and found for at least one week. After that, due to limited space, all items will be donated.  

Completed Artwork

We are so proud of our students’ artwork.  Once you complete your work you are able to take it home. If it is left in the studio we will hold on to it for one month. After that, due to limited space, unclaimed artwork will be disposed of.

Photo & Video Release

By enrolling, you give Hot Potato Art Studio, LLC permission to use photographs and/or video recordings of your child for promotional, educational, or related purposes, including the studio’s website, social media, or marketing materials.

You understand that:

  • You will not receive compensation for use of these materials

  • You release and hold harmless Hot Potato Art Studio, LLC from any claims or demands arising from the use of these materials

Opt-Out: If you do not want your child photographed or recorded, notify the studio in writing via info@hotpotatoartstudio.com prior to the first class.

Social Media

Families are encouraged to take photos of their child and their artwork. If shared publicly:

  • Please credit Hot Potato Art Studio, LLC by mentioning the business name or tagging @hotpotatoartstudio

  • Ensure content complies with copyright, privacy, and other laws

  • The studio reserves the right to request removal of posts that:

    • Misrepresent the studio, programs, or services

    • Violate intellectual property rights

By sharing content, you grant Hot Potato Art Studio permission to share, repost, or feature your content on official studio platforms.

Drop-Off Policy

  • Hot Potato Art Studio, LLC is a drop-off only studio due to limited adult space.

  • Parents/guardians do not participate in or remain in the studio during class sessions.

  • Exceptions may be made for students who require an aide or additional support. Requests must be emailed to info@hotpotatoartstudio.com in advance. Approval is at the studio’s discretion.

Drop-Off Times

  • Time outside scheduled sessions is reserved for teacher breaks and class preparation.

  • The studio will open 5 minutes prior to class. Do not drop off children unsupervised before this time.

  • Parents/guardians are responsible for children prior to the studio opening and class beginning.

Pick-Up Policy

  • Children picked up 10 minutes or more late will incur a $1 per minute late fee.

  • Occasional delays (traffic, construction, accidents) will be considered.

  • Repeated early or late drop-offs/pick-ups may result in dis-enrollment.
